Information on the processing of personal data pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR). Last updated: [publication date].
This policy explains how personal data of visitors to www.relab.polimi.it (the “Website”) of the RELAB Group – Renewable Heating and Cooling LAB, Department of Energy, Politecnico di Milano, is processed.
1. Data controller
The data controller is Politecnico di Milano, Piazza Leonardo da Vinci 32, 20133 Milan, Italy.

2. Data Protection Officer (DPO)
Politecnico di Milano has appointed a Data Protection Officer, who can be contacted at info-relab@polimi.it.
3. Data we process
Browsing data. The systems running the Website collect some data whose transmission is implicit in the use of the internet: IP address, browser type, operating system, date and time of the request, pages visited. This data is used to keep the Website working and secure, not to identify users.
Data sent through the contact form. If you fill in the form on the Contacts page, we process your first name, last name, email address and the content of your message, plus any personal data you choose to include in it. Please do not include special categories of data (such as health data).
Emails sent directly. If you write to the addresses shown on the Website, we process your email address and the data contained in your message.

Providing the data requested in the contact form is optional, but without it we cannot reply to your enquiry.
5. How data is processed and retained
Data is processed electronically by authorised staff, with appropriate security measures. Messages sent through the contact form are delivered by email to the laboratory’s mailbox and kept for 24 months after the last exchange, unless they are needed for a contract or collaboration.
6. Recipients
Data is processed by authorised staff of Politecnico di Milano. It may also be processed by providers of technical services acting on behalf of the University (hosting, email), appointed as data processors. Data is not disclosed to the public or used for marketing.
7. Cookies and third-party services
The Website only uses technical cookies, needed for it to work and to remember your language choice; it does not use profiling cookies or analytics tools. No consent is required for these cookies.
To display pages correctly, the Website loads resources from external providers: Google Fonts and Google Hosted Libraries (Google Ireland Ltd.), jsDelivr and IconScout. To deliver these resources, the providers receive the visitor’s IP address. Their privacy policies are available on their websites.
The Website links to the group’s Instagram profile: if you follow the link, Meta Platforms’ privacy policy applies.
8. Transfers outside the EU
Some providers of external resources may also process data outside the European Union. In those cases, transfers rely on an adequacy decision (such as the EU–US Data Privacy Framework) or on the European Commission’s standard contractual clauses.
9. Your rights
You may at any time request access to your data, rectification, erasure, restriction of processing or data portability, or object to processing (Articles 15–22 GDPR). Write to to info-relab@polimi.it.
If you believe the processing infringes the GDPR, you may lodge a complaint with the Italian Data Protection Authority, Garante per la protezione dei dati personali (www.garanteprivacy.it).

This policy may be updated. The current version is always published on this page, with the date of the last update. The general privacy policy of Politecnico di Milano also applies.
